Your 5-minute guide to AI that actually helps small business owners

Hey. Hope you had a great week! I’m Kathleen, and every week I dig through the noise to find the easiest, coolest AI updates you can use immediately.
Let’s jump in.

Google Just Turned Your Workspace into a Full-Time Virtual Assistant

Gemini in Google Docs, Sheets, Slides & Drive can now pull info from your emails, chats, files, and the web—then spit out fully formatted reports, presentations, or spreadsheets with one prompt.

Why this matters for your small business: No more copying/pasting from 10 different places. Perfect for weekly marketing reports, client proposals, or Q2 planning. One-person teams can now do what used to take a whole sales department.

How it works: Open Docs → type “Help me create” → your prompt:

Meet Microsoft’s New “AI Coworker” – Copilot Cowork

This isn’t another chatbot. It’s an actual agent that plans and executes multi-step tasks across Word, Excel, Outlook, Teams, and your files—while you go do other work. Built with help from Anthropic’s Claude tech.

Why small businesses love it: Delegate real work like “analyze last month’s sales, flag any problems, and draft an email to my team with next steps.” It works in the background. Early testers are calling it a “second employee” that never sleeps.

Next steps:

For work, you can try Microsoft 365 Copilot Chat—which is included with eligible Microsoft 365 subscriptions and offers enterprise-grade security and privacy.

For personal use, you can try Microsoft Copilot on the web for free or download the app.

The Numbers: Small Businesses Are All-In on AI (But Most Still Need a Little Help)

New Goldman Sachs survey of 1,256 owners (March 2026):

  • 76% already use AI

  • 93% say it’s had a positive impact (mostly huge time savings)

  • Only 14% have it fully baked into their business

  • 73% wish they had more training and simple guidance

Translation: You’re not behind—you’re right on time. The owners who get a little structured help right now are pulling way ahead.

Your 60-Second Quick Win This Week

Even if you’re not on Google or Microsoft yet, open free Claude.ai or ChatGPT and paste this prompt:

“Act as my small business marketing assistant. Here’s my last customer email [paste one] and my sales goal [paste your goal]. Write a 3-email nurture sequence that sounds like me and helps close this sale.”

Copy, tweak, send. Takes 5 minutes and will help increase response rates.

What did YOU try this week? Hit reply and tell me—I read every single one and may feature the best story (with credit) next issue.

Yours in success,
Kathleen

P.S. Forward this to one business-owner friend who’s still “figuring out AI.” You’ll look like the smart one. 😊
